Avania is Hiring - Proposals Manager
The main responsibility of the Proposal Manager role is to lead the proposal development process. The Proposal Manager works with all key operational areas to develop cost and text proposals. This includes collaborating with Avania’s subject matter experts to coordinate proposal text and budget development, prioritization of client requests, and interaction with key Avania subject matter experts to prepare high quality client deliverables.
The Proposal Manager also leads the smooth transition of awarded proposals to the Project Manager, including first-run revisions and support of negotiations to cost and text for newly awarded projects along with changes in project scope.
The Proposal Manager leads proposal and budget development efforts in conjunction with cross-functional leaders to produce high quality deliverables ranging in complexity from simple consulting agreements to full-service budgets and proposals.
As a member of the global Budgets & Proposal Team, the Proposal Manager role will undertake the following
- Work closely with Business Development, Finance and Operational department representatives to conduct client/indication research and protocol review to support proposal development.
- Lead all aspects of the appropriate proposal process for assigned opportunities.
- Review and analyze Request for Proposal (RFP) and Request for Information (RFI) documents to ensure adequate information for budget, proposal and/or response preparation is provided and follow up as needed.
- Maintain and update NetSuite database and internal tracking programs.
- Lead strategy meetings to support the review team to:
- Identify client requirements
- Identify possible medical, logistic, costing and/or regulatory issues in order to support the accurate feasibility assessment of each project
- Identify key strategy team members
Establish agreement on timelines and deliverables from the strategy meeting and follow up to ensure adherence.
- Lead the preparation of budgets for projects ranging from consulting agreements to full service projects and complexity ranging from simple to complex to:
Reflect both Company and client needs
Assure accuracy, consistency and competitiveness of budgets
Facilitate pricing discussions with appropriately identified key decision makers
Ensure appropriate and accurate mapping to client budget specifications
Provide quality deliverables adhering to strict deadlines
- Create client specific proposal text to:
Accurately reflect strategy discussions
Meet Company and client needs/expectations
Assure accuracy and appropriateness of text and attachments
- Lead the development of change orders for ongoing projects of all complexities.
- Perform peer quality control (QC) review of all client facing documents.
- Provide training to junior team members.
- Participate in cross functional team efforts to identify opportunities for process enhancements to improve the quality and efficiency of Budgets and Proposals team deliverables while increasing profitability.
- Act as a proactive change agent by demonstrating flexibility and resourcefulness when changes to processes and tools occur.

Function Requirements:
- Bachelor's Degree in Life Science, Business or equivalent
- Previous experience in a CRO or similar environment. Preferably 2+ years of work experience with proposal management, project management or business development
- Comprehensive knowledge of relevant software and CRM (Windows, Word, Excel, Outlook, databases)
- Fluent in English (spoken and written).
