As Event Marketing Coordinator, you will play a key role in driving engagement through both in-person and virtual events. You will ensure that every event interaction with our brand, whether online or on-site, reflects our mission and contributes to building trust, thought leadership, and strong commercial relationships. This role blends creative planning, operational coordination, and cross-functional collaboration.
What will you be doing?
In-person Events
- Support the planning and execution of VSTEP’s presence at exhibitions, trade shows, customer meetups, and conferences.
- Coordinate internal stakeholders and external vendors to deliver a compelling and consistent brand experience.
- Ensure event execution supports commercial, customer engagement, and thought leadership objectives.
- Oversee event logistics including booth setup, materials, staff planning, and scheduling.
- May require travel on non-frequent occasions to support some events.
- Support VSTEP participation in third-party digital events such as webinars, podcasts, interviews, and panel discussions.
- Build and expand VSTEP's own digital event formats such as webinars, podcasts, online showcases, and virtual roundtables.
- Partner with product, commercial, and marketing colleagues to shape event content and select speakers.
- Drive the design, development and production of marketing collateral including brochures, banners, handouts, and branded presentations.
- Coordinate with graphic designers and creative agencies to ensure consistency, quality, and readiness across assets.
- Prepare promotional materials and final print files for events, digital channels, and client-facing distribution.
- Track and analyze event performance data including attendance, engagement levels, lead capture, and follow-up outcomes.
- Create reports and share insights to improve the effectiveness and impact of future events.

- Committed to creating high-quality event experiences that reflect VSTEP’s values and mission.
- Comfortable using webinar tools such as Teams, Webex, webcams, mics, lights, etc.
- A clear communicator with strong stakeholder collaboration skills.
- Located in the Netherlands.
You have:
- A degree in marketing, communications, or a related field.
- 2–3 years of experience in a marketing or event coordination role, ideally involving both physical and digital formats.
- Excellent project management and coordination skills. Familiarity with project management tools is a plus.
- Experience planning events and working with external vendors and logistics providers.
- Experience coordinating design and production of marketing collaterals.
- A valid Dutch work permit, which allows you to live and work in the Netherlands.
