We currently have an opening for a Temporary Office Administrator based in Rotterdam, Netherlands to join our team to cover a long-term employee absence due to illness. This contract has an expected duration of 6 months. (The position may end earlier or be extended depending on the circumstances of the original employee's return). About the Opportunity:
We are looking for a highly organized and proactive Office Administrator to manage the day-to-day operations of our Rotterdam office. In this role, you will be the go-to person for all things office-related, from facilities management and health & safety to event coordination and executive support. Join us to keep our office running smoothly, safely, and efficiently while playing a key role in supporting our teams and leadership.
Key Responsibilities:
- Oversee general office administration including phones, mail, office supplies, and vendor management.
- Coordinate office services, repairs, equipment, and facilities maintenance.
- Manage business licenses, lease relationships, and office compliance (including ISO documentation)
- Support onboarding, space planning, moves, and renovations.
- Ensure compliance with health & safety regulations and procedures.
- Organize inspections, drills, supplies, and reporting of incidents.
- Plan and support internal meetings, social events, and travel logistics.
- Provide administrative assistance to senior leadership.
About You:
- You have proven experience in office or facilities management.
- You haves strong organizational, multitasking, and problem-solving skills.
- You have excellent communication and interpersonal abilities.
- You have knowledge of health & safety and compliance standards.
- You will hold a valid BHV certification (emergency first aid and fire response)
- You are fluent in both Dutch and English, with excellent verbal and written communication skills in both languages.
- You have a high attention to detail and deliver accurate results.
- You have intermediate proficiency with MS office, particularly Excel and Word.
