Essential Duties and Responsibilities
Client/Stakeholder Management
- Connect to key stakeholders at the site and gains buy-in when appropriate.
- Communicate issues, actions and results in real-time to the right stakeholder.
- Communicate and interact at all levels modulates content and ways of communicating accordingly.
- Working with KPI’s and SLA’s defined within the contract.
- Understand that client and JLL objectives need to be compatible, i.e. deliver to the client operationally and financially, whilst ensuring JLL financial interests are protected
- Support on customer complaints.
Operations Management
- Delivers the services required in the contract.
- Integrates service delivery by connecting everything related to the building experience.
- Ensure that contracted resources deliver work to meet duration and quality targets, addressing and ensuring the correction of underperformance issues.
- Develop a close working relationship with all of the vendors under his/her control to ensure that they fully understand the Client culture and are made to feel part of the team delivering a high-quality service.
- Proactively involved in ensuring that services are reviewed and refinements made to enhance these services.
- Support for all task within the servicedesk
- Support for all task within the mailroom
- Support for all task for the whole team
Financial Management
- Manage processing and controlling of purchase orders and invoices.
- Checking rejected invoices.
- Contact with all suppliers about invoices.
- Light knowledge of financial matters.
- Creating PO numbers (purchase orders).
- Providing suppliers with PO.
- Communicating with suppliers about payments, invoices and PO numbers.
- Good receivings in financial JDE system.
- Check invoices.
- Check Accruals.
Event
- Support with event requests
- Hands on support during events
HSE, Security & Quality Management
- Support workplace services site lead in all HSSE related processes and structure
- Safety walks
- Office Checks
- Understand & actively support JLL’s Quality Management program
Additional Duties and Responsibilities

Excellent PC skills, Excel, proficient in Microsoft office

Experience
Minimum 5 years’ experience in a Facilities Admin position.
Qualifications
Can write and talk in English essential.
