Role Purpose
We are seeking a Facility Coordinator. In this role, you will be responsible for coordinating facility-related processes, handling front office tasks, and promoting safety within our organization. The ideal candidate is organized, motivated, and attentive to safety and detail.
Key Responsibilities
Facility Tasks:
- Supervising contractors, including issuing work permits, and ensuring contractors understand safety rules and protocols.
- Performing inspection and quality control tasks.
- Addressing malfunctions and creating reports.
- Administrative management of completed maintenance and follow-up on maintenance activities.
Safety Tasks:
- Ensuring adherence to safety guidelines and procedures.
- Conducting safety inspections and risk assessments.
- Coordinating emergency procedures and evacuation drills.
- Reporting and following up on safety incidents.
- Proposing and implementing improvements in safety procedures.
Front Office Tasks:
- Carrying out various purchasing tasks.
- Creating, managing, and administering access cards and keys.
- Mail handling.
- Supporting and hosting meetings.
- Performing various administrative tasks, such as maintaining SDS records and updating the handbook.
Note: Although traditional receptionist / front office duties have evolved since COVID, you will be expected to occasionally man the reception desk, such as when welcoming visitors. (A full-time receptionist is present.)
Qualifications:
- Experience in a facility role with a focus on safety is an advantage, but we also offer opportunities to learn on the job and develop your skills further.
- Strong organizational and communication skills (English).
- Ability to work independently and as part of a team.
- Flexibility and problem-solving abilities.
