With immediate effect, our ICT team is looking for an:
Information Management Specialist
(Candidates based in the Netherlands are preferred, but we are open to hiring remotely in countries with an MSF contracting section and a time zone difference of +-2 CET)
You will join the Information Management Team of specialists focused on providing Information Management expertise, hands-on support and guidance across the operations of the MSF Operational Centre Amsterdam. The IM Team is expanding and is looking for a proactive IM Specialist with a technical skillset. In this role, you will support our country programmes and the departments in the head office in managing their information, taking into consideration operational, legal, security and data protection requirements. The IM Team supports over 6000 colleagues in over 20 countries, in a variety of contexts. You will participate in the team’s efforts to streamline information management through the implementation of policies, procedures and new technologies for records and archives management.
Objectives of the position
You contribute towards developing and implementing a strategic Information Management framework, ensuring alignment with OCA's mission and strategic objectives. Your responsibilities encompass all activities ensuring continuous improvement and maturity of information management capabilities across the entire lifecycle. You manage all Head Office and field users' information channels and knowledge platforms. You contribute to the team’s efforts to develop and use electronic tools, workflows and scripts to handle and manage information.
Main responsibilities
You keep yourself informed on the status of information management across OCA organisational units to understand the underlying information needs and issues and set priorities for improving information management.
As a specialist, you play a pivotal role in evaluating, adjusting, and enhancing information management strategies and archiving practices.
Your expertise is instrumental in developing frameworks and tools for effective information management.
Your specialist role extends to educating and advocating for the importance of strategic information management and archiving for a country program and/or department.
Proactively identify opportunities for continuous improvement in information management strategies, processes, and tools
You promote a culture of privacy and appropriate information use by delivering specific information compliance requirements, systems training, awareness training, and the application of data protection rules and regulations.
You educate yourself on information management practices, industry trends, and emerging technologies and, based on this, provide services and advice to stakeholders.
You are based in OCA and visit teams/projects in the countries of operations as required.
You work closely with the Control Unit, the ICT department, other Operational Centres, MSF sections, and external parties to maintain an informed approach to information management.
Specific tasks
Develop tools, workflows and automations to improve information management practices, disposition, information quality, and control across the Microsoft 365 environment.
Develop information management strategies and implementation tools tailored to the unique requirements of a country program and/or department.
Provide strategic contributions to OCA's policies, procedures and guidelines for information management while executing a long-term vision aligned with the organisation's mission and objectives.
Offer guidance on records management within specific areas of expertise, tailored to meet the distinct needs of MSF OCA.
Shape information management practices through training and raising awareness. Monitor and evaluate the quality of information management practices.
Provide professional support and guidance to colleagues, fostering a collaborative and informed approach to information management.
Candidate Profile
Required:
Master in (a field related to) information management, archives science or computer science
3+ years of relevant working experience in the Information Management and Archives domain
Experience in managing electronic and paper records throughout the lifecycle
Experience with the Microsoft 365 environment especially SharePoint
Expertise in Excel (Formulas, Macros, etc.)
A good understanding of relevant Data Sharing and Data Protection related regulations (e.g. GDPR)
A good understanding of relevant Information Management and Information Security Standards (i.e. ISO 15489, ISO 16175, ISO 27001, OAIS)
Excellent communication skills in English (written and spoken) are essential.
Nice to have:
Experience in Power Automate and PowerShell
In-depth knowledge of digital preservation standards and health records management standards
Experience with the implementation of electronic archives and digital processes, including planning, implementation, and evaluation

We offer
A full-time appointment (based on a 40-hours workweek) for one year with renewal of the contract based on satisfactory performance appraisal.
A gross monthly salary in scale 15 with a current salary range between € 3,743 and 5,153 gross per month. The exact salary depends on relevant work experience.
