Jr Project Coordinator The Team Within the Store Development team, our mission is to deliver high-quality, strategically aligned store development projects, by adapting global brand concepts to regional needs, and driving end-to-end store and Shop-in-Shop projects that strengthen brand presence and customer engagement across EMEA. This position's team serves as the backbone of Store Development, respectively SD Supply Chain and closely collaborates with Brands, Global Concept, Visual Merchandising, Expansion, Finance and Global Store Development to drive a best-in-class store experience. With an integral position in the team, the role contributes significantly to the department's overall success and strategic growth. Within Store Development we aim for supply chain led Store Development activities and use the advantages of effective supply chain management. The Junior Project Coordinator is a member of the Non-Trade Supply Chain Team and will be supporting the project managers of Store development and Shop-in-Shop projects. The Position As Junior project coordinator, you operationally streamline the planning and mobilization phase, ensuring timely, cost-effective, and high-quality store openings enabling project managers to focus on broader end-to-end responsibilities within the team. In our project-based organization, this role operates within a matrix reporting line structure, with a functional reporting to the Manager Project Coordination and administrative reporting to the Project manager and/or Development Director for project delivery. Key Responsibilities: • Identify what needs to be ordered for each SIS project and liaising with PM/VM • Place stock orders and request quotes from vertical suppliers for non-stock items • Identify and discuss out of stock SKUs with the planner and/or the concept specialist • Fill in the project plan based on the given timeline and share this with our 3rd party warehouse • Update stakeholder about status of shipments and any changing requirements or timelines • Arrange correct shipping documents, create commercial invoices where required and arrange deliveries • Raise POs for all goods and services for a project in Coupa and ensures the POs are received in our system once they have been delivered • Resolve any issues to ensure the invoice gets paid on time and in full/according to agreement. • Follow-up on re-orders for minor works • Maintain project records permanently for other coordinator to take over projects in their absence • Manage issues, escalations, backorders, product replacement, and returns • Ensure adherence to trade compliance, regulations and industry best practices • Be the back-up for logistic order fulfilment coordinator • Project set-up of SIS projects • Item Master Stewardship: • Maintaining Item Master Data File • Setting up new items SAP/FMS • Maintain inventory and planning parameters SAP/FMS • Monitor Product Life Cycle (Phase In / Phase Out) • Note: Responsibilities include, but are not limited to, those listed above. The role may require additional tasks and duties as assigned to meet the needs of the department and organization. Measures of Success • Supply Chain & Inventory Performance: on-time in-full rate Requirements • Minimum Associate Degree (HBO) in Supply Chain Management, Logistics, or Business Administration for Logistics & Order Fulfillment. • Preferably experience in logistics, order fulfilment, or supply chain coordination. • Strong communication, organizational, and problem-solving skills. • A customer-oriented, self-motivated critical thinker with a “Can-Do” attitude! • Proficiency in supply chain, inventory, and warehouse management software; ERP experience (SAP/FMS) is a plus. • Fluency in English.
