The role
As our Office Assistant, you will play a vital role in ensuring the smooth and efficient functioning of our office environment. Reporting to the Executive Assistant of our CEO, you will be responsible for a diverse range of administrative tasks, including expense claim management, travel booking, office/facility administration, internal carpool management, and parking lot coordination. This position will be contracted by a 3rd party provider for a period of c9-12 months.
This is what you will do most of the time:
- Reception Management: Manage the reception area of the Zeekr EU office, ensuring employees and visitors are warmly received and attended.
- Expense Claim Management: Process and track employee expense claims in accordance with company policies and procedures. Verify receipts, reconcile expenses, and ensure timely reimbursement to employees.
- Travel Booking: Coordinate travel arrangements for employees, including flights, accommodations, and transportation. Ensure cost-effectiveness and adherence to travel policies.
- Office/Facility Administration: Oversee day-to-day office operations, including mail distribution, office supplies procurement, and equipment maintenance.
- Vendor Management: Support the management of relationships with key vendors that support in the running of the office – e.g. maintenance, cleaning etc.
- Internal Carpool Management: Manage internal carpool scheduling, reservations, and maintenance. Ensure vehicles are properly maintained, fueled, and available for use as needed.
To be successful in the role you should demonstrate the following:
- Experience in a start-up or fast-paced organization.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent attention to detail and accuracy in handling administrative tasks.
- Proficiency in MS Office applications (Word, Excel, Outlook) and other office software.
- Excellent communication and interpersonal skills.
- Ability to work independently with minimal supervision.
- Knowledge of expense management systems and travel booking platforms is an asset.
- Experience with facilities management and/or vehicle fleet coordination is preferred.
- Proven experience in office administration or a related field.
- Fluent in Dutch and English.
