We are looking for an Administrative Assistant IT (0,8/1,0 FTE) location GXO Headquarters Eindhoven.
In this role, you will ensure that all administrative matters such as reports, purchase orders, etc. run smoothly. You will report directly to the IT Manager.
What you do on a typical day as IT Admin Employee
- Responsible for the complete operational IT ordering (e.g., request for quotations, purchase ordering, follow-up on delivery, reception, invoice checks, …) of IT devices for (new) personnel AND BeNe sites.
- Support the IT Director and IT management team in the creation and maintenance of documents and various statements and documents in the context of overall IT operations (organization, communications, projects, planning & policies, etc.)
- Support the Business Controller IT in administrative and financial work related to projects and general IT operations
- In this role, the social aspect is very important, you are open for a chat with your colleagues, you know the team, and together with the colleagues you make sure that everyone can do his/her job in the best possible way and with a lot of fun
- Role results in:
- New employees obtaining laptop, monitors, docking station, mobile phone
- Sites obtaining printers, workstations, scanners, workstations, SIM card activation etc. as needed
- Responsible for issuing orders
- Inventory management available IT hardware
- Ordering IT hardware within projects
- Pre-work for Finance to ensure invoices are correct and paid accordingly
- Acting as office assistant, ordering office supplies, source of information for (new) IT employees organizing IT events in- and outside office (townhall, breakfast sessions etc.)
- MBO+ work and thinking level preferably complemented by several years of work experience as PA, Office Manager/Support or similar.
- An expert in preparing and maintaining records, good organizer and accurate.
- Communicatively strong in at least English
- You are critical and ask questions to keep processes on track.
- You dare to take initiative and always think one step ahead
- Good conceptual and visual skills and you can work well independently
