As Back Office Team Lead at Unilabs Netherlands, you play a central role in ensuring the smooth and efficient functioning of our administrative processes. You lead the back-office team that supports our laboratories, collection locations, and medical operations, making sure that patient data, billing, documentation, and system entries are handled accurately and on time.
You act as a connector between departments, translating operational needs into structured processes and helping your team deliver excellent internal service. With an eye for quality, efficiency, and compliance, you guide the team through daily operations while also driving process improvements. You work closely with departments such as Finance, IT, HR, and Medical Operations, and help build a back-office function that grows with the needs of our patients and professionals.
In a fast-moving healthcare environment, you provide leadership, structure, and support. You contribute directly to patient care, not through diagnosis or testing, but by ensuring the background processes are robust, compliant, and efficient.
Examples of your responsibilities include:
- Leading and coaching the back-office team, conducting performance reviews, and supporting professional growth;
- Overseeing administrative processes such as invoicing, insurance handling, documentation, order entry, and internal reporting;
- Managing workflow and priorities to ensure timely and accurate execution of tasks;
- Acting as a liaison between the back office and other departments to ensure alignment and smooth collaboration;
- Monitoring KPIs and service levels, and implementing improvements where needed;
- Supporting system transitions or updates (e.g., ERP, CRM, LIMS) and ensuring the team adopts new ways of working;
- Ensuring compliance with internal policies and external regulations (e.g., GDPR, healthcare administration standards).
Requirements
- At least 3–5 years of experience in an administrative or operational support role, with at least 2 years of leadership experience;
- Strong affinity for process optimization, quality, and data accuracy;
- Experience in a healthcare, laboratory, or similarly regulated environment is a plus;
- Ability to coach, motivate, and develop teams;
- Strong organizational skills and the ability to prioritize under pressure;
- Solid command of Microsoft Office; experience with ERP or LIMS systems is an advantage;
- Communicative, proactive, and service-oriented mindset;
- Excellent Dutch and good English skills, both spoken and written.
