As Inbound Operations Manager, you will lead and manage the full inbound supply chain—from order placement with our manufacturing partners to the delivery of goods at our global warehouses. You will play a pivotal role in securing reliable timelines, cost efficiency, and sustainable logistics, while ensuring full visibility and control across all touchpoints.
We are seeking a highly organized and hands-on Inbound Operations Manager to lead and optimize our global supply chain, logistics, and production processes. The ideal candidate thrives in a scale-up environment, combines strategic thinking with operational excellence, and is passionate about driving sustainable growth.
Key Responsibilities
Factory order Management
- coordinate with product and planning teams to place production orders with global suppliers
- monitor production timelines and proactively manage delays or exceptions
- ensure all products meet DFNS quality and sustainability specifications pre-shipment
Inbound Logistics & Coordination
- manage shipping schedules and bookings with forwarders (air/sea/road)
- align with DFNS warehouses and 3PLs on inbound schedules, ASN creation, and delivery windows
- optimize shipment consolidation, packaging efficiency, and carbon footprint
Documentation & Compliance
- oversee shipping documentation (commercial invoice, packing list, MSDS, COO, etc.) to ensure smooth customs clearance
- stay up-to-date with global import regulations (esp. EU, US, UK) and compliance standards relevant to our product categories
System, Data & Visibility
- maintain real-time inbound visibility through ERP, spreadsheets, and reporting tools
- track and report KPIs: lead times, landed cost, OTIF, and logistics performance
Sustainability & Continuous Improvement
- partner with sustainability and packaging teams to align inbound operations with DFNS’s environmental goals.
- identify and implement process improvements for lead time, cost, and waste reduction.
Cross-functional Collaboration
- act as an operational link between Sales, Finance, Product, and Marketing teams
Qualifications
- 4 years in inbound operations, supply chain, or logistics (experience in FMCG, cosmetics, or lifestyle brands is a plus)
- proven ability to manage global suppliers and freight partners
- strong understanding of international logistics, Incoterms, customs, and compliance
- highly organized, hands-on, and comfortable working in a fast-paced, scale-up environment.
- experience with ERP systems and Excel/Google Sheets.
- passion for sustainability and operational efficiency.
- fluency in English and/or German a plus
