More about the role
Signify is in a leading position as the lighting industry transitions from conventional to LED technologies and now moves toward connected lighting. We are looking for an experienced Executive Assistant, who reports directly to Chief Innovation Officer (CIO) and is based in Amsterdam.
The Executive Assistant (EA) to the CIO will play a critical role in providing high-level administrative support to the CIO. This position requires a proactive and detail-oriented individual who can manage a wide range of tasks and responsibilities with discretion and professionalism. The EA will act as a key liaison between the CIO and internal/external stakeholders, ensuring effective communication and coordination.
Your responsibilities:
Design & manage Innovation Community business calendar, schedule meetings, appointments and coordinate travel arrangements. Prioritize and resolve scheduling conflicts
Serve as the primary point of contact for internal and external communication. Screen calls, emails and messages, ensuring timely and accurate responses
Arrange complex domestic & international travel itineraries, including flights, accommodations and transportation. Ensure all travel arrangements align with the schedule and preferences
Organize meetings, prepare agenda and ensure all necessary materials are provided, maintain confidential files, business documents and records
Plan and coordinate events, conferences within Innovation Community, ensuring all logistical details are well in place
Handle sensitive and confidential information with discretion and professionalism, ensuring privacy and trust are maintained
Candidate profile
A Bachelor/HBO or equivalent
A proven track record of administrative expertise, paired with discretion & professionalism
Pro-active attitude with hands-on mentality, flexibility, business acumen and result-oriented
Has advanced knowledge and experience with Microsoft Office (Word, Excel, PowerPoint, Teams and Outlook); and administrator systems (Workday, Concur, SMART, etc.)
Attention to detail & problem-solving skills and eager to continuous learning
Strong organizational and planning skills in a fast-paced environment
Able to handle details of a highly confidential nature, and to liaise with other LT assistants and departments at all levels within the company
Excellent English written and verbal communication skills; skills in both Chinese and Dutch is a plus
