The Outbound Operations Manager is responsible for the full post-sales supply chain. From customer order processing to outbound fulfillment, customer service, and accounts receivable follow-up. You ensure every DFNS order - from key accounts to e-com - ships accurately, on time, and with the service and visibility our partners expect. This role is central to our operational efficiency and commercial success. Key Responsibilities
Order Processing & Fulfillment
- manage end-to-end order processing for wholesale, DTC, and distributor accounts across multiple regions
- interface with sales and planning teams to align on order allocation, stock availability, and shipping readiness
- work closely with 3PL partners to ensure accurate and timely outbound fulfillment
- ensure proper creation of shipping documents, packing slips, and export paperwork
Outbound Logistics & Coordination
- manage shipping schedules and bookings with forwarders (air/sea/road)
- align with DFNS warehouses and 3PLs on inbound schedules, ASN creation, and delivery windows
- optimize shipment consolidation, packaging efficiency, and carbon footprint
- coordinate transport planning (road/air/parcel/pallet) for global shipments
- liaise with carriers and 3PLs to track deliveries and resolve delivery issues
- optimize outbound shipping costs while meeting service levels and sustainability targets
Customer Service & Support
- serve as the operational point of contact for key customers and distributors
- resolve order, shipping, and delivery-related queries professionally and promptly
- track customer-specific routing guides, labeling, and documentation requirements
Accounts Receivable Support
- collaborate with finance to ensure timely and accurate invoicing
- monitor outstanding payments and assist with proactive follow-up and resolution of payment discrepancies
- maintain clean customer order and payment records in ERP and CRM systems
Reporting & Continuous Improvement
- partner with sustainability and packaging teams to align inbound operations with DFNS’s environmental goals.
- identify and implement process improvements for lead time, cost, and waste reduction.
- track outbound KPIs (OTIF, order cycle time, claims rate, DSO) and drive improvements
- identify opportunities to streamline processes and reduce friction across systems, people, and partners
- partner with the sustainability and VM teams to support eco-conscious shipping and packaging initiatives
Cross-functional Collaboration
- act as an operational link between Inbound Logistivs, Sales, Finance, Product, and Marketing teams
Qualifications
- 4 years experience in outbound operations, order management, or logistics (experience in CPG, lifestyle, or sports industry is a plus)
- strong understanding of international shipping, 3PL management, order-to-cash cycle, and customer service operations
- experience with ERP systems (Excellence/ It’s Perfect is a plus), and advanced Excel / Google Sheets skills
- excellent communication skills and customer-oriented mindset
- detail-driven, hands-on, and adaptable to a dynamic, scale-up environment
- fluency in English and/or German a plus
